The travel and fleet operations division of a large South Indian hospitality group manages in-station and out-station trip requirements across the group's extensive network. As fleet size and trip volumes grew, the limitations of manual processes — from vehicle scheduling to billing and expense tracking — became a significant operational burden. Boltzmann was brought in to build a purpose-built travel management system covering every part of the operation.
Vehicle movements, driver assignments, and trip schedules were managed manually, making it impossible to get a clear picture of fleet utilisation at any given time. Fuel consumption and maintenance costs had no centralised tracking, leading to unmonitored leakages. Customer billing lacked standardised pricing workflows, resulting in inconsistencies and invoice delays. With a growing fleet and no structured system, operational visibility was severely limited — and the problems were only going to compound with scale.
Boltzmann built a comprehensive travel management web application covering the full lifecycle of fleet and trip operations. A vehicle master module tracks availability, service schedules, and insurance expiry. Driver attendance and assignment are managed digitally with real-time availability tracking. Trip booking — in-station and out-station — is handled through a structured module with customer-wise pricing and automated billing. Fuel consumption is tracked per vehicle, and maintenance and service expenses are logged systematically. Vendor management and expense workflows complete the picture, with dashboards giving management live visibility across the fleet.
