Digitising a large-scale scholarship programme — from online application through field verification, approval, and hostel allocation.
A leading jewellery group runs a substantial CSR initiative providing scholarships and hostel accommodation to deserving students across the region. As the programme grew, managing it manually — across application intake, document verification, field visits, multi-stage approvals, and hostel allocation — had become operationally unwieldy. Boltzmann was engaged to build a comprehensive digital platform covering every stage of the scholarship lifecycle, accessible via a public portal, a web admin system, and a mobile app for field verification officers.
Applications were collected and processed entirely on paper, creating bottlenecks at every stage. Field officers conducting physical verification had no digital tools — everything recorded during visits had to be re-entered later, introducing delays and errors. There was no centralised view of where any application stood in the pipeline, and hostel allocation was managed manually without a structured availability system. Tracking the programme end-to-end required significant manual effort and was prone to inaccuracies that undermined the integrity of the process.
The Boltzmann team built a three-part platform: a public-facing student application portal, a web-based administration system, and a mobile app for field verification officers. Students register, complete applications, and upload supporting documents online. Admin staff work through a structured review and verification workflow with document management built in. Field officers use the mobile app to conduct on-site verification and submit findings digitally, in real time. Once approved, students are allocated hostel accommodation through a module with live room availability tracking. Administrators have full pipeline visibility through a comprehensive reports and analytics module.
Application-to-approval processing time reduced significantly. Manual paperwork eliminated; all documents submitted, verified, and stored digitally. Field verification digitised — faster turnaround, fewer data-entry errors. Approval cycles accelerated through structured digital workflows and sign-offs, administrators have complete end-to-end visibility for the first time, and hostel allocation is managed systematically, removing administrative overhead.
